In this privacy policy the following words and expressions shall have the following meanings unless the context requires otherwise:

Copyright Office:	The Dutch foundation “Copyright Office” having its seat in The Hague, The Netherlands and registered at the chamber of commerce under number 88979415.
Copyright Owner:	The Copyright Owner as registered in The Copyrights Register.
Copyrights Register:	The register of Works of Copyright Owners as registered by WEIP Services in the register of Copyright Office
Services:	Any services as provided by WEIP Services to Users.
User:	Any Copyright Owner, IP Representative and/or any other user of the Website and/or The Copyrights Register.
Website:	The website as set out on the URL copyrightsregister.com.
WEIP Services :	The Dutch Limited Liability company WEIP Services B.V. having its seat in The Hague, The Netherlands and registered at the chamber of commerce under number 88348490.
Work:	all creative works or parts thereof registered by an IP Representative on behalf of the Copyright Owner at the Copyrights Register.

Introduction

This Privacy Policy applies to the processing of personal data of all our Users with regard to the Services of WEIP Services and/or the use of the Copyrights Register.

In this Privacy Policy we explain how personal data is processed and for which purposes these data are being processed. This Privacy Policy furthermore contains information about our cookie policy. By using the Website, the Copyrights Register, or any Services of WEIP Services B.V. the following terms shall apply.

Processing of personal data

WEIP Services enables IP Representatives to use The Copyrights Register in order:

• To record owners of copyright protected Works; and
• To record (a chain of) transfer(s) of copyright with regard to a Work.

The Copyright Office manages the Works of Copyright Owners as registered in the Copyrights Register.

By using the Services of WEIP Services and/or the Copyright Register, WEIP Services and the Copyright Office proces personal data of its users. This concerns name, address, phone number and email address. Furthermore, financial details, such as a bank account number, are being processed if User purchases paid products and/or Services of WEIP Services, if such details are necessary for the payment of said products and/or services.

The processing of personal data takes places in the following situations:

a. Formation and execution of an agreement with User;

b. Administrative processing; to offer and/or deliver the products and/or Services as purchased by User;

c. Invoicing; in case of paid products and/or Services. Should payment fail, WEIP Services may pass on the claim for collection, to a debt collection company;

d. To make a personal account on the website of WEIP Services;

In the aforementioned situations the name, address, phone number and email address are necessary for the execution of the agreement.

e. to send user newsletters, offers, user information, service notices and/or other electronic messages that may be relevant for the user, in case the user has explicitly agreed thereto;

In the aforementioned situations the personal data, i.e. e-mail address, are provided optionally for which processing User provides permission.

f. To control, analyze, maintain, optimalize and secure our products and/or services and to detect and deter misuse and/or fraud of our products and/or services;

g. To determinate strategic analyses and reports of our products and/or services; and/or

h. If User visits one of our (mobile) websites, our servers may (automatically) save information such as URLs, IP-addresses, browsertypes, languages, data and times of the visits;

In aforementioned situation WEIP Services and Copyright Office have a legitimate interest to process personal data.

The provided personal data shall solely be processed by WEIP Services for the purpose of the execution of the products and/or services and, more specific, the express purpose for which the personal data is collected.

Disclosing personal data is not required

User shall at all times have the option whether or not to disclose personal data. However, for the use of a number of Services it is requested to disclose personal data to WEIP Services and/or the Copyright Office. If the input of your details is required, WEIP Services B.V. shall inform you which data are necessary to be able to use our Services and/or the Copyrights Register.

Rights users

All our Users have certain rights under the GDPR legislation to manage their own personal data:

- right of access and information;

- Right of rectification;

- Right of erasure;

- Right to object the processing of his/her personal data;

- Right of data portability; and

- Right of restriction of processing

In addition, User may withdraw the consent he/she has given to the processing of his data at any time. Furthermore, User has the right to complain about our data processing activities to a data protection authority.

In cases User wishes to invoke one or more of these rights, he/she may contact WEIP Services at: privacy@copyrightregister.com.

No transfers to third parties

Notwithstanding the below mentioned, only persons authorized by WEIP Services for the security and/or processing and/or maintenance of IT-structure have access to personal data of Users.

If, for the purposes as set out in this Privacy Policy, we involved a controller, such as postal services and payment services, we close an agreement with such controller to ensure that the controller offers sufficient assurance with regard to technical and organizational safety measures.

WEIP Services or Copyright Office shall not provide personal data of its users to third parties unless set out in this Privacy Statement and/or unless this is necessary for the execution of its products and/or Services, on the basis of a statutory provision or in case of an emergency if this is, in the reasonable opinion of WEIP Services or Copyright Office, in the interest of its Users. This includes legitimate requests of authorities, summons or court orders, acts to investigate or prevent damages or fraud, or acts to guarantee the safety of our network and our Products and/or Services.

Data collected automatically

Apart from the use of cookies, WEIP Services or Copyright Office do not collect any data automatically.

Sensitive Personal Data

WEIP Services or Copyright Office do not process sensitive personal data.

Data obtained from third parties

WEIP Services or Copyright Office do not process personal data obtained from third parties.

Security

WEIP Services and/or Copyright Office have taken adequate technical and organizational measures to secure the personal data of its users against loss or unlawful processing, amongst which (i) storage of personal data in a secured database with encrypted passwords and secured backups and (ii) payment orders to WEIP Services through secured payment systems.

Retention period

The personal data shall solely be stored during the period which shall be necessary for the execution of the purposes as set out above, unless applicable laws prescribe longer retention periods in which case the personal data shall be stored for the period as prescribed by the applicable laws.
